Title: MKE Mixers Mobile Makerspace

Abstract: During the funding period, the MKE Mixers purchased supplies and materials for eight themed Mix Boxes (circulating maker kits), as well as storage and delivery containers and packaging. We worked with Milwaukee County Federated Library Services (MCFLS) staff and Milwaukee County library directors to write a usage policy and procedures for reservation of materials, scheduling, and transportation. We wrote program materials and instructional guides, collected manufacturer equipment manuals and diagrams, and created marketing materials and evaluation surveys, and made them available via Dropbox to Milwaukee County librarians using the Mix Boxes. We set up a web site via Weebly with information on our project, including inventory lists of each Mix Box, and set up a Google calendar and e-mail to handle hold requests. Each of our team members takes turn monitoring the account and responding to questions and requests, while the MCFLS staff are responsible for readying and transporting Mix Boxes to the library system's delivery area. We participated in outreach and training activities at various Milwaukee County libraries and presented at local committee meetings and state conferences. We are currently recruiting new members for our team. The target audience for our grant project is Milwaukee County public librarians and, through them, the community members of all ages that their libraries serve. While only Milwaukee County public librarians may request Mix Boxes, they are then able to use the materials with any group, including at schools, community groups, and for staff training. With this project, we intended to expand maker and STEM/STEAM programs offered in Milwaukee County libraries by helping librarians overcome the deficits in money, space, and staff knowledge that are barriers to these types of programs. From August 2016-August 2017, the Mix Boxes will have been checked out 70 times, with 23 out of the 27 libraries making at least one request and the majority using more than one Mix Box and making repeat requests. Every Mix Box has been utilized at least three times during the grant period. With Milwaukee County library director feedback and buy-in, we are planning to refresh some Mix Boxes and add to others in 2018.

Activity Details
Title: Plan and purchase supplies/materials for eight portable Mix Boxes
Narrative: Our five-person MKE Mixers team divided up the Mix Boxes
that we wished to create among our group. We then created
our “shopping lists” and worked with purchasing at the
Milwaukee County Federated Library System. MCFLS staff
was able to make all purchases and payments.

Our five person team worked with the Milwaukee Federated
Library System to choose and purchase portable containers
to transport the items in each Mix Box. We had to make
sure the containers were a manageable size for both the
librarians and delivery staff and could be secured. We also
had to take into account what would fit in each container
and determine from there how many containers each Mix
Box would actually need.

Activity Details
Title: Create the necessary materials for dissemination and use of portable Mix Boxes system-wide.
Narrative: Our five person team created an email account to schedule
Mix Boxes and inform our users as Mix Boxes are placed in
transit. Our website was sent out to applicable library staff
as a way to check availability of Mix Boxes, see the contents
of each Mix Box, and use as a resource for program ideas
and instructions. In addition to the website, each Mix Box
contains a flash drive that includes instructions, digitized
manuals, program ideas, promotional materials, and
evaluations. When the flash drive system proved too
complicated for shipping and quick, easy access to
materials, we switched to a shared DropBox that we send
out how to access via e-mail when we confirm scheduling
dates and delivery dates with Milwaukee County librarians
and staff requesting Mix Boxes.

Activity Details
Title: Collaborate with MCFLS Director, administrative staff, and Milwaukee County library directors to write policies and procedures.
Narrative: After drafting reservation and circulation procedures for the
Mix Boxes, we met with Bruce Gay, MCFLS System Director,
Steve Heser, MCFLS System Administrator, and Judy
Kaniasty, MCFLS Business Manager and Personnel Assistant.
Together we discussed the procedures and drafted a usage
policy that includes managing responsibility for lost and/or
damaged items. Per their request, we included combination
locks for each Mix Box into the procedure to ensure safer
shipment and storage at area libraries, and we assigned
dollar values to each Mix in total. In addition to this formal
in-person meeting, we communicated with Bruce Gay, Steve
Heser, and Judy Kaniasty via e-mail throughout the project
and spoke with them informally as we visited the MCFLS
office, where the Mix Boxes are stored. We met in person frequently with Judy Kaniasty, who acted as our mainpurchaser from our instructions. Their collaboration has
been integral to our success. We also met twice with the
committee of Milwaukee County library directors (known as
LDAC) in the early stages of our planning.

Activity Details
Title: Hold Mix Box programs planned by each MKE Mixers team member at area library and schools.
Narrative: Since the circulation of our Mix Boxes went live, programs
have been held by 23 public libraries in the Milwaukee
County system. However, this is a report of the programs
that the MKE Mixers team has held individually and/or as a
group.
Shorewood Public Library
Sewing 101
Using the Textiles Mix, adult participants were introduced to
the basics of machine sewing and learned to make a simple
pillowcase.
West Allis Public Library
Library Makers: Squishy Circuits, LittleBits, and Snap Circuits
Using the Circuits Mix, kids in 3rd-5th grades came in for
free play using Squishy Circuits, LittleBits, and Snap Circuits.
They formed small groups and had to complete a circuit in
order to create buzzers, light switches, and even a car.
Getting Crafty: Holiday Cards
Using the Craft Mix, adults were able to use a Cricut to
create their own unique holiday cards.
Whitefish Bay Public Library
"Get in the Game" Teen Summer Reading Kick-Off
Using the Craft Mix and the Play Mix, teens could make
buttons and race Sphero robots during this after-hours
event.
Whitefish Bay School District
One MKE Mixer team member met with a committee of
Whitefish Bay School District teachers and librarians to
discuss makerspace programs in schools and how the MKE
Mixers resources could help. One Mix Box was brought to
the program for show-and-tell.
Greendale Middle School
Snap Circuits - Students were challenged to create a circuits
that would light up, make a sound or fly.
Spheros - Students used the iPads as remote controls for
these robotic spheres and maneuvered the Spheros to race,
change colors, and create figure eights and other patterns.
Makey Makey - Students followed online directions make
"keys' out of bananas, playdough, and gummy bears, and
then used those items to play the bongos, piano, and video
games on the computer.
Milwaukee Public Library - Central
Teen Summer Reading After-Hours Kick-Off
MKE Mixers staffed several booths at the Central Library's
teen summer reading lock-in. Participants could make
buttons, screen-print a small poster, race Sphero robots,
print a digital photo with the Polaroid Zip, and play a banana
piano with Makey Makeys.
Milwaukee Public Library - King
TAB Meeting - Movie-Making
A MKE Mixers team member attended a teen advisory board
meeting, where members used the AV Mix camcorders,
tripods, and computers (computers supplied by MPL) to film
and edit a short movie in the library. Some members
intended to create a commercial for TAB; others just wrote
and filmed on their own.

Activity Details
Title: Facilitate system-wide access to the Mix Boxes by Milwaukee County librarians
Narrative: We set up a reservation and delivery system using our web
site, Google calendar, Action Logistics delivery drivers (who
do the materials delivery for the system, contracted by
MCFLS), with the MKE Mixers team and MCFLS staff
administering. Each of our "Mixes" (broken into smaller Mix
Boxes) circulated at least once. Those are the AV Mix (5
boxes), the Brick Mix (3 boxes), the Cooking Mix (4 boxes),
the Craft Mix (6 boxes plus 2 small add-on boxes), the
Textiles Mix (3 boxes), the E-Textiles Mix (1 box), the
Circuits Mix (3 boxes) and the Play Mix (1 box). Librarians
are able to request just one box from a Mix, or all boxes
from a Mix; for example, a librarian could request all three
boxes from the Circuits Mix, or just one. In this case, for
evaluation purposes, we are using the word "item" to
describe one Mix Box.

Activity Details
Title: Continue meeting with Milwaukee County library directors to plan development and sustainability of MKE Mixer service after funding period ends.
Narrative: We have built in a two-week period between August 25-
September 8 to evaluate the MKE Mixers project after its
first full year of active circulation. No circulation will happen
during this period as we check over the Mix Boxes and refine
our scheduling system, with the possible addition of online
library software Lend-Items. We will work with MCFLS staff
to write a budget proposal for sustained, regular funding for
maintenance and occasional upgrades to the project and
present it to the Milwaukee County library directors at their
September meeting.

To measure the impact of this project, we included evaluation surveys each time a Mix Box was delivered. At first, the evaluation forms were on a flash drive included in the delivery. When we received feedback that the flash drive system wasn't as helpful as we intended, we switched to a shared Dropbox link sent via e-mail. Out of the 23 libraries that held at least one Mix Box program, we received 16 evaluation surveys (a visual representation is included in the media items). We asked for feedback on our web site, our scheduling and delivery, the contents of the Mix Boxes, and the programs held. Of these respondents, 94% rated the MKE Mixers web site highly (4 out of 5 or 5 on a 5-point scale) for logic and ease of navigation, professional design, and usability. For packaging and delivery, 93.8% reported their Mix Box arrived on time for their program, and all respondents indicated that repacking the Mix Box was easy to some degree. Library staff used the Mix Boxes for a variety of ages, with the majority being for children and teenagers, and 88% reported that their program attendees were very engaged (5 out of 5 on a 5-point scale). We also tracked usage data via our Google request e-mail and calendar to see how often each Mix Box was being requested and how many libraries were making the requests. Between August 2016 and August 2017, the Mix Boxes were circulated 70 times (each check-out lasted 2-4 weeks), with 1-5 Mix Boxes being sent out weekly. Our busiest months thus far were March-April 2017 and June- August 2017, with 7-10 individual requests. The Mix Boxes were used in libraries across Milwaukee County, with 23 out of 27 Milwaukee County libraries making use of the service. The most used Mix Boxes were the Play Mix, the Craft Mix, and the Circuits Mix. With this data, we can see how the initial project was received and glean insight for improvement and growth in the future. We believe the reception of our project has been strong enough to request further support from Milwaukee County library directors in order to expand our most popular Mixes, create a fund for replacement items, and purchase additional technology to enhance the usability of the AV Mix, Play Mix, and Brick Mix.

Have an enthusiastic team with a shared goal and administrative/director support. Our team was developed out of belief that our project would fill a need for greater access to 21st learning tools and technology in our library system, which resulted in our ability to keep the momentum of our project going despite delays, complications, and our individual work schedules. We all wanted the project to succeed and were willing to work hard both collaboratively and independently. Team members were able to switch out tasks and areas of responsibility when needed and put in more or less time on the project each month based on individual work schedules. Support from our individual library directors (such as allowing paid work time to be spent on this project in addition to regular job duties) and from the MCFLS administrative staff (such as their willingness to physically move Mix Boxes to the delivery area and back into storage and then check over contents) was instrumental in giving us time to plan and implement this project. Have a responsive system to disseminate information. We initially used flash drives included inside each Mix Box to disseminate program ideas, instruction manuals, diagrams, and so on. This proved harder to implement than we’d thought: once Mix Boxes were circulating, flash drives were sometimes left out of the bins, and it was difficult to recall flash drives to make changes or add content. Also, feedback from Milwaukee County librarians indicated that they wanted the materials sooner, often weeks before they would receive a Mix Box for a program, to better plan and promote their programs. We settled on a shared DropBox instead, with an e-mail and password set up that we can administer. We send out the login and password in the e-mails we use to confirm requests. This is much easier to update and provides immediate access to librarians requesting a Mix Box, and they can continue to use the shared materials at any time. Finally, the DropBox has potential for further information-sharing improvements to our project that we are considering, such as allowing librarians to upload evaluations and share their own program materials, instead of or in addition to doing so on our web site. Have input from multiple sources on important procedures. The details of how best to store, package, reserve, and circulate large numbers of craft tools, technology and AV equipment, and other physical items was a major portion of our project. So was protecting our financial investments. We used many of the same companies that have current accounts with our library system, such as Action Logistics delivery services and Uline products. Having input from the system director, system administrators, and multiple library directors during the planning stages, especially in writing procedures, meant that concerns were addressed up front, rather than months into the project necessitating big changes. System administrators requested inventory tagging on large and/or expensive items, labeling Mix Boxes with an alphabetical system, and locking all containers during delivery; while library directors were concerned with their individual library’s financial responsibility in the event of loss or damage. Evaluations are more effective when targeted directly to participants in their preferred format. We included three kinds of evaluation forms with our circulating Mix Boxes. There was a link to a Google form for library staff to complete, a printable form for adult program attendees, and a printable form for child program attendees. These evaluations were included on the flash drives at first and, later, in the DropBox. We intended for library staff to print evaluation forms to hand out to the people at their programs, to be collected and sent to us either with the Mix Box when returned or scanned and e-mailed. We also intended for library staff to complete their own online evaluation of the MKE Mixers service for each program they did. In practice, however, this didn’t happen: library staff rarely sent us formal evaluations of any kind, preferring to e-mail suggestions and feedback to the MKE Mixers e-mail directly. However, when we prompted library staff to do an evaluation by sending out an e-mail request with the link to the Google form included, we had much better results. To better evaluate our project as it continues, we will need to send requests for feedback periodically, rather than leave it to library staff to remember on their own.

The MKE Mixers team feels strongly about advocating for programs that teach STEM/STEAM skills, technological competencies, collaboration, resilience, and all kinds of creation. LSTA grant funding made it possible for us to create this service and fill a need in the Milwaukee County library community, and it has always been our intention to continue circulating and updating the Mix Boxes after the end of the funding period. With the strong reception we have received from Milwaukee County library staff and the additional support from MCFLS staff in administering the project (storage and delivery), we intend to focus on ensuring sustainability by further refining our scheduling procedure, writing new policies, recruiting new staff, adding to our online resources (program guides, etc.), and securing a small but steady source of yearly funding.
